94% of NZ owners say they're not reaching their business goals. Not from lack of effort — from nowhere to see progress. Here's the visible scoreboard that fixes it.

Nine days. That's how much later than agreed terms the average small business got paid last quarter — up from 8.4 days the quarter before, according to Xero Small Business Insights. It sounds like a minor scheduling issue. It isn't. Underneath that slow drift sits a much bigger number: 56% of small businesses are currently sitting on unpaid invoices, averaging $17,500 stuck outside their bank account, according to a 2,487-business Intuit QuickBooks survey of US small businesses (0-100 employees). If you've ever stared at your bank balance wondering where the money went despite a full order book, this is very likely where it went.

The Problem Reframe: You Don't Have a Cash Flow Problem — You Have a Collections Problem

Most SME owners diagnose a thin bank balance as a sales problem, a pricing problem, or "the economy." Often it's none of those. It's a collections problem wearing a cash flow costume.

The QuickBooks data is blunt about the downstream cost: businesses carrying the worst overdue balances are 1.4x more likely to report ongoing cash flow problems, and they lean far more heavily on debt to cover the gap — business credit card use jumps from 46% to 54%, and lines of credit from 21% to 31%, among businesses with the highest overdue amounts. In other words: the businesses least willing to chase their own money are the ones quietly paying interest to borrow it back.

Xero's transaction data backs this up at the macro level too. As small business sales growth has slowed to 2.5% year-on-year (against a long-term average of 5.4%), the payment delay has widened rather than narrowed. When growth slows, the temptation is to go easier on collections to protect the relationship. The data says that's exactly backwards — it's when growth slows that a tight collections process matters most. Learn more from Xero's Small Business Insights.

The Framework: The Collection Cadence

The fix isn't a harder conversation. It's a system that means you never have to have the hard conversation at all, because the process has the conversation for you. Kevin calls it the Collection Cadence — four checkpoints, each set up once and then run automatically:

1. Point of sale — a deposit or partial payment is standard, not negotiable, for anything over your threshold amount. This alone removes most of your worst-case exposure before the work even starts.

2. Day 3 — an automated, friendly reminder goes out the moment an invoice crosses terms. No owner involvement, no awkwardness — it's just what the system does.

3. Day 15 — a real human, you or someone on your team, makes a short, direct phone call. Not an email. A phone call changes the psychology of the conversation for both sides.

4. Day 30 — a hard stop. No further work, stock, or service is delivered until the account is current. This is the line that protects everything else you've built.

Named and written down, this stops being a personal confrontation and starts being "just the process" — which is exactly what makes it easy to enforce consistently.

"Kevin had a no-nonsense approach and tackled the issues head on. Accountability was the key."

The Execution Gap: Why Owners Know This and Still Don't Do It

Almost every owner Kevin coaches already knows they should chase overdue invoices harder. Almost none of them do it consistently. The obstacle is rarely knowledge — it's almost always one of three things: no defined process, so every late payment becomes a fresh, uncomfortable decision; no accountability structure, so collections drifts to "whenever I get to it"; or the owner is the bottleneck, with every collections call routing through the founder, who is too busy or too conflict-averse to make it.

The businesses that fix this fastest are the ones who take the decision out of the moment. A Collection Cadence written down and assigned to someone — even a part-time bookkeeper — removes the emotional cost entirely. It's no longer "am I being difficult with a client I like?" It's "the system flagged day 15, so I'm calling."

Quick Wins You Can Put in Place This Week

  • Add a deposit clause to your next three quotes. Even 20% upfront changes your exposure dramatically.
  • Turn on automated payment reminders in whatever accounting software you already use — most owners have this feature switched off, or never switched on.
  • Pick one day this week to make every overdue call on your books. Batch it. It's far less draining than one dreaded call at a time.

Key Takeaways

  • Small businesses were paid an average of 9 days late last quarter, up from 8.4 days the quarter before, and the gap is widening as sales growth slows.
  • 56% of small businesses currently hold unpaid invoices, averaging $17,500 per business, with 47% carrying invoices more than 30 days overdue.
  • Businesses with the highest overdue balances are 1.4x more likely to report cash flow problems and rely significantly more on credit cards and credit lines to bridge the gap.
  • A cash flow shortage is often a collections process failure, not a sales, pricing, or demand failure.
  • The Collection Cadence — deposit, day-3 automated reminder, day-15 human call, day-30 hard stop — turns collections from a personal confrontation into a system anyone can run.

A collections system is one of the fastest, lowest-cost fixes available to any SME owner right now — and it's exactly the kind of practical, week-one change the Simple-Growth System™ is built around.

...and you become the owner whose invoices get paid on time without you having to chase them.
